Apprenticeship: Office Management Assistants (f|m|x)

Would you like to gain hands-on experience right after finishing school and take responsibility early on? Then an office management apprenticeship at zeb might be exactly what you’re looking for. Over the course of our apprenticeship program, you will get to know our various departments and teams to find out which tasks really interest you and which area is the best fit for you. Sounds exciting? It is.

You day-to-day-work as an apprentice

Team day on Monday, training on Tuesday and vocational school on Wednesday – in this video, our apprentice Nina takes you through a typical week at zeb and shows you just how varied her everyday work is.

 

How is zeb's apprenticeship program structured?

During the three-year apprenticeship program, you will gain insights into many different departments of our company. You will support our HR management team as well as our personal assistants and secretaries, get involved in marketing and event management and learn the ropes of accounting. In each department, you will be assigned individual tasks from day one.

Which vocational school will I attend during my apprenticeship?

The Ludwig-Erhard-Berufskolleg in Münster provides the theoretical basis for your apprenticeship.

What classes will I attend there?

Your main subjects as a zeb apprentice will be Office Processes and Business Processes. For your electives, you can choose your specialization yourself, whereby Assistance and Secretarial Services is set by us as the second subject.

What tasks await me in HR management?

In human resources management, you will learn about the process of personnel recruitment. You will gain insights into applicant management and take care of sending out candidate communication. Moreover, you will prepare job interviews and shadow your colleagues during the interviews. On top of that, you may also assist us in onboarding processes as well as activities pertaining to personnel development or support.

What tasks await me in the secretaries offices and assistant services?

During your time in the secretaries offices or as an assistant, everything will revolve around communication with our clients. You will be responsible for making appointments, looking after guests and taking care of incoming and outgoing mail. You will also make a lot of phone calls and be involved in the office organization.

What tasks await me in marketing and public relations?

You will support your team in internal and external communication. You will make internal news available via our intranet and distribute information about internal events to our colleagues. In external communication, you will organize the creation of texts, designs and translations for our corporate website, the press, our social media channels and client events.

What tasks await me in event management?

Together with your team you will organize seminars, workshops and in-house training classes for our clients, including preparation and follow-up. A particular highlight is zeb.Uni, a company-wide event that you will have the opportunity to co-organize.

What tasks await me in accounting?

In accounting, you will deal with incoming and outgoing invoices, both domestic and foreign. You will also gain insights into accounting for our consultants’ travel expenses and about financial controlling.

How many vacation days do I get per year?

In recognition of your dedication, you are entitled to 28 days of vacation per year.

The annual apprentice event

A special highlight for our apprentices is the annual apprentice event which usually takes place before the start of the new apprenticeship year – the perfect opportunity to get to know our other apprentices and start building your zeb network even before the first day of work.
The program varies from year to year – from group activities to exciting team events and a relaxing close to the day, it is aimed at one thing in particular: fostering a sense of togetherness. This year, for example, we kicked things off with a get-together, then put our team spirit to the test in an escape room and wrapped up the day with a joint dinner.

You're never on your own

In each department, you have your personal contact person who supports you in your tasks. If you have any questions that relate to your apprenticeship in general, you can always talk to our training supervisor. In addition, to help you get your bearings at the start of your apprenticeship, you will be paired with a senior apprentice who will serve as your mentor, offering you advice and support.

Whether it’s helping out at recruiting events, working on marketing projects, organizing appointments or conducting research – there are new tasks awaiting you in each department. This allows you to take on responsibility in various contexts right from the start of your apprenticeship.

On top of vocational school, you will attend regular apprentice meetings and seminars where you will learn about different departments, projects and relevant topics pertaining to the consulting industry. In addition to funding for learning materials and time off for exam preparation, we offer you a wide range of further education opportunities. This will allow you to not only get to know your own areas of responsibility but also to gain insights into everyday work in the consulting industry.

Who we are looking for

We are looking for young talents who have good grades at school, are enthusiastic about taking on varied tasks and have the courage to start the next chapter of their professional future.

What school-leaving certificate do I need to apply?

To apply for our apprenticeship program, you need a qualification for university entrance (in Germany: Abitur or Fachabitur).

Do I need prior experience in office management?

Initial experience gained through internships is a plus but not required.

What qualities and knowledge should I have?

It’s important to us that you quickly grasp new tasks but also enjoy coming up with own solutions and value open communication within the team. In addition, you should already be proficient in the basics of MS Office and have a good command of both German and English.

Can I apply even if my grades aren’t perfect?

Yes, of course. We appreciate any application. For us, grades are just one part of the bigger picture. What matters most is that you’re motivated, interested in business-related activities and eager to learn new things.

When does the apprenticeship program start each year?

The apprenticeship program starts on August 1 every year.

Is there an application deadline?

No, there is no specific deadline for your application. We are looking for new apprentices every year, so you can apply for the next cycle whenever you want to.
